Privacy Policy

1. Our identity and data-protection roles

Self Software Systems SIA, registration number 40203713044, VAT number LV40203713044, Anniņmuižas bulvāris 19–38, Rīga, LV-1067, Latvia ("SelfSIA", "we", "us") acts as controller for our own website, account administration, billing, service security, communications and legal-compliance purposes. When we handle personal data in customer bookkeeping records on the customer's instructions, the customer is normally the controller and we are its processor (or subprocessor where the customer acts for another controller). The actual processing purposes determine these roles.

For customer-directed processing, the Data Processing Agreement applies. This notice concerns our controller activities and also explains how customer-data requests are routed. Accepting our Terms does not constitute consent to all processing described here.

  • (a) visit our website;
  • (b) create or use a SelfSIA account;
  • (c) join our waiting list or contact us;
  • (d) connect third-party integrations;
  • (e) use AI-assisted bookkeeping, analytics, reporting or communication features; or
  • (f) otherwise interact with us as a customer, prospect or user.
3. Categories of personal data

Depending on how you use SelfSIA, we may process the following categories of personal data:

3.1 Identity and account data

Name, email address, telephone number, company name, account credentials, profile settings, authentication identifiers, identity-verification information (including a personal identification code where a verification feature requires it), and account status.

3.2 Billing and contract data

Subscription plan, invoices, payment status, transaction references, VAT/company details, billing address and related accounting records, together with correspondence or other records of contractual instructions and permissions that you actually provide to us.

3.3 Financial and bookkeeping data

Transaction data, bank statement data, invoices, receipts, tax-related records, accounting classifications, files and documents you upload, and metadata associated with those records.

3.4 Integration data

Data received from integrations you authorise, including banks, payment providers, cloud storage services, messaging platforms, identity providers and similar third-party services.

3.5 Usage and device data

IP address, browser type, operating system, device identifiers, log data, pages viewed, actions taken, feature usage, timestamps, session information and similar technical data.

3.6 Communications data

Messages sent to us, support tickets, waitlist submissions, feedback, survey responses, and communications conducted through supported channels.

3.7 AI interaction data

Prompts, uploaded context, generated outputs, classifications, recommendations, explanations and related interaction logs necessary to provide AI-assisted features.

3.8 Compliance and security data

Audit logs, fraud-prevention indicators, access events, error reports, and records necessary to investigate incidents, enforce our terms, or comply with law.

4. Sources of personal data

We collect personal data:

  • (a) directly from you;
  • (b) from your employer or organisation where your use is provisioned by that organisation;
  • (c) from third-party services that you choose to connect or use for sign-in;
  • (d) from service providers acting on our behalf; and
  • (e) from public authorities or other parties where required by law or necessary for legal compliance.
5. Purposes of processing and lawful bases

The purposes and bases below concern data for which we act as controller. Where we process customer records on instructions, the customer determines the purpose and lawful basis and the Data Processing Agreement governs our processing.

5.1 To create and administer your account, authenticate users, provide access to the service, and perform our contract with you.
Lawful basis: performance of a contract or pre-contractual steps where you are the individual contracting party; legitimate interests in administering the business relationship where you represent an organisation.

5.2 To administer the service and connected features you request.
Lawful basis: contract for the individual contracting party, or legitimate interests in providing and administering services for an organisation. Processing of third-party personal data in customer bookkeeping records follows the customer's lawful instructions, rather than relying on a contract to which that third party is not a party.

5.3 To operate billing, invoicing, payment collection, accounting and tax compliance processes.
Lawful basis: performance of a contract; compliance with legal obligations.

5.4 To maintain security, prevent fraud or abuse, protect our systems, investigate incidents and enforce our Terms.
Lawful basis: legitimate interests; compliance with legal obligations where applicable.

5.5 To analyse service usage, improve user experience, diagnose issues and develop features, using technical and usage information. This does not authorise unrelated reuse of customer bookkeeping records or general-purpose model training.
Lawful basis: consent where cookies or similar technologies require consent; otherwise legitimate interests where permitted by law.

5.6 To communicate with you about the service, support matters, operational notices and updates.
Lawful basis: performance of a contract; legitimate interests.

5.7 To send marketing communications.
Lawful basis: consent where required by law; otherwise our legitimate interests where permitted by law and subject to your right to object.

5.8 To comply with applicable law, respond to lawful requests, assert or defend legal claims, and exercise our legal rights.
Lawful basis: compliance with legal obligations; legitimate interests.

Where we rely on legitimate interests, we assess and balance those interests against your rights and freedoms. These interests include running and securing the service, administering business relationships, understanding service use and handling legal claims. You may object on grounds relating to your situation and may object to direct marketing at any time. Browser analytics subject to consent and server-side operational or usage events are distinct data flows; an analytics-cookie choice does not itself determine every non-cookie processing basis.

6. Whether provision of data is mandatory

Some data is necessary to provide the service, create an account, process payments, connect integrations, or comply with legal requirements. If you do not provide data marked as required, we may be unable to provide some or all of the service.

7. Cookies and similar technologies

We use cookies and similar technologies on our website and service. Please see our Cookie Policy for detailed information about categories of cookies, legal bases, durations, recipients and how to manage your preferences.

8. Recipients of personal data

We may disclose personal data to:

  • (a) hosting, infrastructure and cloud providers;
  • (b) analytics and consent-management providers;
  • (c) payment processors and billing providers;
  • (d) authentication and identity providers;
  • (e) integration providers you authorise, such as banking, storage, messaging and payment services;
  • (f) customer support and communications tool providers;
  • (g) document-processing, search, AI gateway and authorised model providers needed for the features you use;
  • (h) professional advisers, auditors and insurers;
  • (i) competent authorities, courts, regulators or law enforcement where required by law; and
  • (j) a purchaser or successor in connection with a merger, acquisition, restructuring or sale of assets.

See our service-provider information for feature-specific functions. AI and document-processing features may transmit prompts, relevant record context or complete uploaded files to the providers used for those features. We distinguish processors acting on instructions from providers acting for their own purposes and apply the appropriate contractual and transparency requirements.

9. International data transfers

Where personal data is transferred outside the EEA/UK/Switzerland, we will ensure that a valid transfer mechanism applies, such as:

  • (a) an adequacy decision;
  • (b) the European Commission's Standard Contractual Clauses; or
  • (c) another legally recognised transfer mechanism.

Where required, we implement supplementary technical and organisational measures. You may ask our privacy contact for the relevant destinations, transfer mechanism and a copy of applicable safeguards, with confidential information protected where necessary. A provider's brand name or our main hosting location is not a guarantee that all storage and remote access stays within the EEA.

10. Retention

Retention depends on the purpose, applicable legal duties and documented need. We review whether records are still necessary and delete or anonymise them when that justification ends. Account closure does not by itself erase records that must be kept for a specific legal obligation or a justified legal claim.

  • (a) Account and profile information is retained while needed to provide the account and then for completing closure, return requests, security investigations or justified claims. We restrict use of records kept only for a remaining legal purpose.
  • (b) SelfSIA's billing, tax and accounting records follow the statutory retention period applicable to that particular record. This does not automatically require retention of a customer's complete books, uploads or employee records.
  • (c) Contract correspondence, orders, invoices and any permissions actually obtained may survive account closure to demonstrate the agreement, handle refunds or disputes and defend claims. Retention is limited by the applicable legal requirements, limitation periods and any actual dispute or legal hold; it is not indefinite merely because evidence could someday be useful.
  • (d) Support and contact records remain only while required to resolve the matter and any necessary follow-up, legal duty or claim. Waitlist and lead information remains while there is an active stated interest or another valid basis; withdrawal or objection is acted on, subject to narrowly necessary compliance records.
  • (e) Security, audit and consent records remain for the time justified by their security or accountability purpose, relevant incident, applicable limitation period or legal requirement. We minimise the data retained for that purpose.
  • (f) Customer records processed on instructions follow the customer's lawful instructions and the return/deletion provisions of the Data Processing Agreement. We explain any required retention instead of treating all customer accounting records as our own statutory records.
  • (g) Isolated backups expire through the applicable protected backup cycle and are not used for ordinary processing. Where restoration is necessary, outstanding deletion restrictions and instructions must be reapplied. We distinguish backup expiry and lawful holds from completed active-system deletion when responding to a request.

Contact us for the period or determining criteria applicable to a particular record, a return request or a deletion request. These requests may require manual work and coordination with providers. Account closure does not by itself confirm erasure of every stored record, provider copy or backup. Our response will explain completed actions, any outstanding steps and any justified retention.

11. Your rights

Subject to applicable law, you may have the right to:

  • (a) obtain access to your personal data;
  • (b) request rectification of inaccurate data;
  • (c) request erasure;
  • (d) request restriction of processing;
  • (e) object to processing;
  • (f) receive personal data in a portable format where applicable;
  • (g) withdraw consent at any time where processing is based on consent; and
  • (h) lodge a complaint with a supervisory authority.

To exercise your rights, contact us at [email protected]. We may request information necessary to verify your identity. We will respond without undue delay and ordinarily within one month of receipt; any lawful extension will be explained within that initial period. If the data belongs to a customer-controlled workspace and you are not its authorised representative, we will assist that controller with your request. This does not prevent you from exercising rights against us for our own processing. You may complain to the Latvian Data State Inspectorate or another competent supervisory authority, including in your place of residence or work.

12. Automated decision-making and profiling

We do not make decisions based solely on automated processing, including profiling, that produce legal effects concerning you or similarly significantly affect you, unless we expressly notify you of that processing, identify the lawful basis, and provide the information and safeguards required by applicable law.

13. Children

SelfSIA is not directed to children. The service is intended for users who are at least 18 years old unless we expressly provide otherwise. If we become aware that we have collected personal data from a child in violation of applicable law, we will take appropriate steps to delete that data. Where consent-based information society services are offered directly to children, we will apply the age and parental-authorisation rules required by applicable law.

14. Security

We implement appropriate technical and organisational measures designed to protect personal data against accidental or unlawful destruction, loss, alteration, unauthorised disclosure or access. These include authentication, workspace access controls and role permissions, encrypted storage for supported credentials and sensitive authentication fields, and security review appropriate to risk. Authenticator-based two-factor authentication is available; enrollment is managed by the user. Our Data Processing Agreement describes security commitments for customer-directed processing. No security measure can prevent every incident.

15. Data breaches

We document personal data breaches and make notifications required by law. For a breach affecting Customer Data processed on instructions, we notify the customer without undue delay and assist its response under the Data Processing Agreement. Where acting as controller, we assess our own duties to notify the authority and affected individuals.

16. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. We will publish the updated version on this page and change the "Last updated" date. Where required by law, we will also provide additional notice.

18. Data Processing Agreement
18.1. Parties, roles and priority

This agreement forms part of the Terms of Service between the customer identified in the account or order (“Customer”) and Self Software Systems SIA, registration number 40203713044, Anniņmuižas bulvāris 19–38, Rīga, LV-1067, Latvia (“SelfSIA”). It applies when SelfSIA processes personal data on the Customer's behalf to supply the agreed service (“Customer Data”). GDPR terms have their meanings under Regulation (EU) 2016/679.

The Customer is the controller, or a processor acting with its controller's authority; SelfSIA is respectively a processor or subprocessor. The Customer determines its processing purposes, lawful basis, required notices and authorised instructions. SelfSIA acts as a separate controller for its own account administration, billing, security and legal-compliance purposes described in the Privacy Policy. Actual processing purposes determine each role.

This agreement prevails over conflicting general terms on Customer Data processing. Applicable transfer clauses and mandatory law prevail over it. The Terms' liability provisions apply between the parties only to the extent lawful. They do not restrict data subjects' statutory compensation or other rights, regulatory powers or any liability expressly preserved in section 13 of the Terms.

18.2. Processing instructions and particulars

The subject matter is the financial administration service the Customer selects. Processing lasts for the service relationship and the necessary return or deletion period, with restricted retention only where law requires. Operations include collection, storage, organisation, retrieval, extraction, classification, calculation, transmission, support, export and deletion of the records needed for enabled features.

Data subjects may include the Customer's users, employees, directors, beneficial owners, contractors, customers, suppliers and payment counterparties. Data may include names and contact details, company and identity identifiers, account and transaction references, invoice and receipt contents, payroll and tax records, documents, prompts, outputs and related activity records. The Customer controls the records and integrations supplied. Do not submit special-category data or criminal-offence data unless separately agreed with suitable safeguards and a lawful basis.

The contract, enabled settings, authorised use of features and written support instructions document the Customer's instructions. SelfSIA will process only on those instructions, including for transfers, unless Union or Member State law requires otherwise; we will notify the Customer of that requirement beforehand unless legally prohibited. We will promptly flag an instruction we consider contrary to data-protection law and may suspend that instruction while the parties resolve it.

The Customer's service instructions do not authorise sale of Customer Data, advertising use or training of general-purpose AI models for unrelated purposes. Any new purpose requires its own lawful basis and appropriate agreement; it cannot be introduced merely by changing an internal setting or appointing a vendor.

18.3. Confidentiality and security schedule

SelfSIA will restrict access to authorised persons who need it for the service and are bound by confidentiality duties. We will apply measures appropriate to the nature of processing and the risk to individuals and review their effectiveness. Our service security commitments include:

  • Authenticated access, workspace-level access checks and role-based permissions for customer records.
  • Encrypted storage of supported integration credentials and sensitive authentication fields; encrypted transport for service connections.
  • Availability of authenticator-based two-factor authentication and recovery codes; Customers manage enrollment and user access.
  • Validation and access controls on supported uploads, document previews and integration requests.
  • Operational logging and investigation of security incidents, with access to logs restricted to authorised personnel.
  • Backup and restoration arrangements appropriate to the deployed service, and review and testing of security and recovery measures proportionate to risk.

On request, we will provide information about the measures and recovery arrangements relevant to the Customer's service, subject to protection of confidential security information. Changes must not materially reduce the agreed overall level of protection.

18.4. Subprocessors

The Customer gives general written authorisation for disclosed subprocessors used for the agreed service, subject to this section. The service-provider information identifies service functions. Before using a subprocessor for Customer Data, SelfSIA will disclose its contracting identity, function, processing locations and applicable transfer safeguards and ensure sufficient guarantees and a written agreement imposing the relevant data-protection obligations. A software library or gateway name alone does not authorise undisclosed downstream providers.

We will notify the Customer's account contact of a proposed addition or replacement at least 30 days before it receives Customer Data, giving an opportunity to object on reasonable data-protection grounds. We will work to resolve an objection through safeguards or a suitable alternative. If unresolved before the proposed use, the affected processing will not be transferred over that objection; either party may end the affected service, and we will refund unused prepaid fees for it. An urgent replacement needs specific authorisation if the notice period cannot be observed.

SelfSIA remains responsible to the Customer for its subprocessors' performance of their data-protection obligations. Independent services the Customer contracts with directly are not automatically our subprocessors; their actual role and the relevant data flow determine the obligations.

18.5. Assistance and personal data breaches

Taking account of the processing and information available, we will assist the Customer with data-subject requests, security obligations, breach notifications, data-protection impact assessments and prior consultation with supervisory authorities. We will forward a request relating to Customer Data promptly and not decide it on the Customer's behalf unless instructed or legally required.

We will notify the Customer without undue delay after becoming aware of a personal data breach affecting Customer Data. Our initial notice will give available information about the incident, affected records and individuals, likely consequences, measures taken or proposed, and a contact for follow-up. We will provide further information as it becomes available, preserve relevant evidence and cooperate in containment and remediation. The Customer decides its controller notifications; this does not remove our independent legal obligations.

18.6. International transfers

Transfers and remote access requiring safeguards under GDPR Chapter V will take place only on documented instructions and with an applicable adequacy decision, appropriate contractual safeguards such as the relevant European Commission Standard Contractual Clauses, or another lawful mechanism. We will assess and adopt supplementary measures where necessary. The Customer may request details and a copy of relevant safeguards, with confidential information appropriately protected. This agreement does not itself assert that any particular deployment or vendor is restricted to the EEA.

18.7. Return, deletion and recordkeeping

At the end of processing, the Customer may choose return or deletion of Customer Data, subject to legally required storage. The Terms provide a 30-day opportunity to request support-assisted return after termination, without reducing mandatory retrieval rights. We will preserve data for a timely return request and then delete remaining copies unless the Customer lawfully instructs otherwise or storage is legally required. An instruction for earlier deletion will be handled without undue delay after verifying authority and applicable retention obligations.

The required scope of deletion includes active records, stored documents and instructed deletion by subprocessors. Return and deletion requests are handled through support and may require manual steps and coordination with providers. Isolated backup copies will be protected, excluded from ordinary use and removed through their applicable retention cycle; if restored, pending deletion instructions must be reapplied. We will explain any legally required retention, its basis and duration or determining criteria, and restrict processing to that purpose. On request, we will report the actual scope and status of work, distinguishing completed deletion from outstanding provider actions, protected copies awaiting expiry and required legal retention.

SelfSIA's own billing and contract evidence may be retained under its controller obligations and Privacy Policy. A Customer's duty to preserve its accounting records is not automatically a legal obligation requiring SelfSIA to retain all Customer Data after instructions to delete.

18.8. Information, audits and contact

We will provide information reasonably needed to demonstrate compliance with this agreement and permit and contribute to audits, including inspections, by the Customer or an independent auditor it appoints. The parties will arrange reasonable notice, scope, confidentiality and protection for other customers; these arrangements must not obstruct an audit needed after an incident, on reasonable evidence of non-compliance or by a competent authority. Available documentation may be reviewed first where appropriate.

Any reasonable charges for additional assistance must be agreed in advance and must not obstruct statutory rights or charge the Customer for remedying our own breach. The parties will keep required processing records and cooperate with competent authorities. Send instructions, audit requests, objections or privacy questions to [email protected].

19. Service providers and subprocessors
19.1. How to read this information

The services below support SelfSIA features. Which services receive data depends on the features and connections used. Service names identify the product or provider; they do not establish a particular contracting legal entity, processing location, vendor retention setting or transfer mechanism. The relevant particulars must be established for the applicable deployment under the Data Processing Agreement.

This page does not authorise unnamed downstream AI providers or assert that every listed service is a subprocessor. A provider may process data for our own controller purposes, act on customer instructions, or be an independent service you connect. Contact [email protected] for the information applicable to your service.

19.2. Services supporting the platform
ServiceFunction and relevant data
Laravel CloudApplication hosting and infrastructure supporting account and service records.
Amazon Web Services (S3)Object storage for supported file uploads where configured for the service.
RailwayHosting for the SelfSIA-operated LiteLLM AI gateway; requests may contain prompts and context for enabled AI features.
LlamaCloud / LlamaParseUploaded document parsing, classification and extraction, including the contents of supported financial documents.
AlgoliaSearch indexing and retrieval for supported transaction records.
ResendService email delivery, including recipient addresses and message content.
PostHogUsage events and product analytics, including account or session identifiers and related event properties.
Context.devMerchant identification and enrichment from payment descriptors where that feature is used.
TypesafeAI-assisted accounting classification using the transaction information required by the feature.
DatRealCompany, ownership and sanctions information for company verification and related records.
DigitalOceanHosting for the identity-verification bridge used for supported eParaksts requests.

AI requests can be routed through the SelfSIA-operated gateway to a model provider. LiteLLM is gateway software; its name does not identify the receiving model provider. Any downstream provider receiving Customer Data must be identified and covered by the Data Processing Agreement's subprocessor and transfer requirements before that processing.

19.3. Payments and connections you choose

Supported features can connect to Stripe for billing or connected merchant accounts; Catego or Aiia for banking data; Google or Microsoft for sign-in or connected mailboxes; Shopify for commerce records; and Telegram, WhatsApp or Slack for messaging. Identity and authority connections can include eParaksts, Smart-ID and the Latvian State Revenue Service (VID). Data sent depends on the particular authorisation and operation. These providers' own notices and terms may apply where they act independently.

Optional website analytics and campaign providers are described in the Cookie Policy. That consent process is separate from instructions to process bookkeeping records.

19.4. Changes and safeguards

Customer-directed processing requires disclosure of the relevant contracting entity, function, locations and transfer safeguards and the required written processing terms. The service-name inventory above does not by itself establish that those contractual or deployment particulars have been verified. Proposed subprocessor additions or replacements follow the notice and objection procedure in the Data Processing Agreement. A listing here is not a certification, a guarantee of EEA-only processing or a statement that a particular vendor training or deletion setting has been verified.
